Terms of Service & Privacy Policy

1. Introduction

Welcome to Qadvo. This document describes the terms under which you may use our service and how we collect, use, and protect your information. By creating an account or using Qadvo, you agree to these terms.

Qadvo is an asset tracking and management application that helps individuals and small businesses track the performance, maintenance, and value of things they own. Qadvo is operated by Justin Kline in Cedar Rapids, Iowa. Qadvo is not yet a formally registered business entity.

2. What Qadvo Does

Qadvo provides tools for tracking assets such as vehicles, equipment, livestock, lab instruments, and household items. Core features include:

  • Asset registration with make, model, serial number, purchase price, and photos
  • Maintenance and event logging with timestamps, costs, and notes
  • Metric tracking (mileage, hours, weight, satisfaction) with configurable intervals and alerts
  • AI-powered product reviews generated from your tracked ownership data
  • Reports and cost-of-ownership analysis
  • Sharing assets and groups with other users for collaborative tracking
  • Voice logging via inbound email, SMS, or voice assistants (Siri, Google Assistant, Alexa) — log events through multiple channels, parsed by AI
  • AI assistant (Ask Q) for querying your asset data
  • Equipment economics with depreciation analysis and cost-of-ownership calculations
  • Certificate generation for calibration records and asset verification
  • Web research for product specifications, warranty lookups, and market data
  • Payment card tracking (last 4 digits only, stored in your browser)

3. Your Account

3.1 Registration

You may create an account using email and password or through Google OAuth sign-in. You must provide accurate information and are responsible for maintaining the security of your credentials. You must be at least 16 years of age to use Qadvo.

3.2 Account Tiers

Qadvo currently operates in an alpha testing phase. All features are available to all users at no cost. In the future, we may introduce paid subscription tiers with feature limits. If we do, existing alpha users will receive advance notice and will not lose access to data they have already created.

3.3 Account Deletion

You may delete your account at any time from the Settings panel. Account deletion follows a three-tier process:

  • Immediate: Your account is deactivated and all personal data is hidden from the application. You will be signed out. During the grace period, your data remains in our database in a deactivated state but is not accessible through the application.
  • 30-Day Grace Period: Your data is retained in a deactivated state for 30 days. If you contact us at justin@qadvo.com within this window, we can restore your account and data.
  • Permanent Purge: After 30 days, all personal data is permanently deleted, including your profile, email, preferences, notification settings, raw log event notes, photos, and personal identifiers.

3.4 What We Retain After Deletion

After account deletion, we retain anonymized, aggregate data that cannot be traced back to you. This includes:

  • Anonymized product reviews displayed as “Former User” with no identifying information
  • Aggregate product performance metrics: maintenance frequency, cost-of-ownership trends, satisfaction trends, and depreciation rates
  • Statistical contributions to product and brand quality ratings

This anonymized data helps improve product quality ratings for the entire Qadvo community. It cannot be used to identify you. If you would like this data removed as well, contact us and we will accommodate your request.

4. Data We Collect

4.1 Information You Provide

  • Account information: email address, name (optional), and password (or Google OAuth credentials)
  • Asset data: descriptions, make, model, serial/VIN numbers, purchase dates, prices, and photos
  • Log events: maintenance records, costs, notes, dates, and attached evidence (receipts, photos)
  • Metrics: tracked values such as mileage, hours, weight, satisfaction ratings
  • Reviews: titles, body text, ratings, verdicts, and pros/cons
  • Preferences: notification settings, display preferences, onboarding progress
  • Payment card references: last 4 digits only, stored locally in your browser and never transmitted to our servers

4.2 Information Collected Automatically

  • Usage analytics via Google Analytics (page views, session duration, general location)
  • Error logs and performance metrics to improve the service
  • Sign-in records including timestamps, IP addresses, and browser user agent strings
  • Feature usage events (which features you use and how often) for product improvement
  • Local storage data in your browser for session management and UI preferences
  • Demo mode: if you use Qadvo in demo mode without an account, usage analytics are still collected via Google Analytics. Demo data is stored locally in your browser and is not transmitted to our servers

4.3 Information Processed by AI

Qadvo uses AI features powered by the OpenAI API (GPT-4o and GPT-4o-mini models). When you use AI features (product reviews, Ask Q assistant, voice log email processing, evidence photo analysis, web research for product specs), the relevant portions of your asset data are sent to OpenAI for processing. For inbound email voice logging, the full email content is sent to OpenAI for parsing. OpenAI does not use API inputs to train their models. Uploaded photos and evidence images are stored in cloud storage (Supabase) and are also sent to OpenAI when you use photo analysis features — these are two separate data flows. We also use the Tavily API for web research features (product specification lookups, warranty information, and market data). Tavily receives search queries derived from your asset data but does not receive your full asset records. Note that search queries may include identifiable information such as VIN numbers or serial numbers when you use product specification or warranty lookup features.

Important: Your data is private, not training material.

Your data is processed through Qadvo's private API connection to OpenAI — not through consumer AI products like ChatGPT. This means your asset data is never used to train or improve AI models, is never visible to other users or the public, and is not retained by OpenAI beyond a maximum of 30 days for safety monitoring. The same applies to Tavily: queries are processed and discarded, not stored or shared.

5. How We Use Your Data

We use your data to:

  • Provide and operate the Qadvo service, including all features described in Section 2
  • Generate AI-powered product reviews and responses to your queries
  • Send you email and in-app notifications about maintenance reminders, alerts, weekly digests (which may include highlights from other users' published public reviews), and reengagement messages
  • Improve the service through aggregate analytics and usage patterns
  • Build anonymized product quality ratings that benefit all users
  • Communicate with you about your account, service updates, and new features

We do not sell your personal data to third parties. We do not display advertisements. We do not share your individual data with other users unless you explicitly use the sharing feature.

6. Third-Party Services

Qadvo relies on the following third-party services to operate. Each handles a specific portion of your data:

Supabase (authentication and database): Stores your account credentials, asset data, and all application data. Supabase provides the authentication system for email/password and Google OAuth sign-in. Data is hosted on Supabase's cloud infrastructure.

Vercel (frontend hosting): Hosts the Qadvo web application. Vercel processes web requests and may collect standard web server logs including IP addresses and request metadata.

Render (backend hosting): Hosts the Qadvo API server. Render processes API requests and may collect standard server logs.

OpenAI (AI processing): Powers the AI features including product reviews, Ask Q assistant, voice log email parsing, evidence photo analysis, and web research enrichment. Your relevant asset data is sent to OpenAI's API for processing using GPT-4o and GPT-4o-mini models. OpenAI's usage policy prohibits using API inputs to train models.

Tavily (web research): Provides web search capabilities for product specification lookups, warranty information retrieval, and market data research. Tavily receives search queries derived from your asset data but does not receive your full records or personal information. However, search queries may contain identifiable asset details such as VIN numbers or serial numbers.

Google Analytics (usage analytics): Collects anonymized usage data including page views, session duration, and general geographic location. Analytics data is collected for both authenticated users and unauthenticated visitors (including the landing page and demo mode). Google Analytics uses cookies and local storage. You can opt out using browser extensions or cookie settings.

SendGrid (email delivery and inbound processing): Delivers notification emails including maintenance reminders, weekly digests, and reengagement emails. SendGrid also processes inbound emails when you use voice logging or receipt forwarding — the full email content (including any attachments, receipt data, and forwarded messages) is received by SendGrid and forwarded to our servers for AI parsing. SendGrid processes your email address and the content of both outbound and inbound emails.

7. Sharing Features

Qadvo allows you to share assets and asset groups with other users. When you share:

  • The recipient can view the shared asset's data, logs, and metrics. Financial data (costs, purchase prices, depreciation) is hidden by default and only shared if you explicitly enable the financial data toggle
  • Sharing permissions are controlled by you and can be revoked at any time
  • Shared users cannot modify your data unless you grant edit access

Public product reviews are visible to all visitors on the Qadvo Reviews page. Reviews display your username, the product name, your rating, satisfaction trend, ownership duration, and your written review. You control whether to publish a review.

8. Data Security

We take reasonable measures to protect your data, including:

  • Encryption in transit (HTTPS/TLS for all connections)
  • Authentication via Supabase with PKCE flow for OAuth security
  • Row-level security policies in the database, combined with application-level access controls, to prevent unauthorized access between users
  • Uploaded files (photos, evidence) stored in cloud storage with access controlled by application-level authorization
  • Service role keys stored securely in environment variables, never exposed to the frontend

However, no system is perfectly secure. We cannot guarantee absolute security of your data. If we become aware of a security breach that affects your personal data, we will notify you as promptly as possible.

9. Your Rights

You have the right to:

  • Access all data associated with your account through the Qadvo application
  • Export your data (reports, CSV/PDF inventory exports are available in the app)
  • Correct inaccurate data by editing your assets, logs, and profile at any time
  • Delete your account and personal data as described in Section 3.3
  • Request removal of anonymized retained data by contacting us
  • Opt out of non-essential emails by managing notification preferences in Settings

If you are a resident of the European Economic Area, California, or another jurisdiction with specific data privacy laws, you may have additional rights. Contact us at justin@qadvo.com to exercise any data rights not covered by the application's built-in tools.

10. Intellectual Property

10.1 Your Content

You retain ownership of all data and content you create in Qadvo, including asset descriptions, log entries, photos, and reviews. By using Qadvo, you grant us a limited license to store, process, display, and transmit your content solely for the purpose of providing the service.

For public reviews, you grant us a license to display the review on the Qadvo website and in email communications. If you delete a review, it will be removed. If you delete your account, published reviews may be retained in anonymized form as described in Section 3.4.

10.2 Our Service

Qadvo's software, design, and branding are the intellectual property of the operator. You may not copy, modify, or redistribute the Qadvo application or its source code without permission.

11. AI-Generated Content

Qadvo includes features that use artificial intelligence to generate content, including product reviews, data analysis, and responses to queries. AI-generated content is based on your data and general knowledge but may contain inaccuracies. You should review AI-generated content before relying on it for important decisions.

AI-generated product reviews are clearly labeled and are editable before publishing. You are responsible for the final content of any review you choose to publish.

12. Acceptable Use

You agree not to:

  • Use Qadvo for any unlawful purpose
  • Attempt to access other users' data without authorization
  • Submit false or misleading product reviews
  • Use automated tools to scrape or bulk-access the service
  • Reverse engineer or attempt to extract the source code of the application
  • Interfere with the operation of the service or its infrastructure

We reserve the right to suspend or terminate accounts that violate these terms.

13. Disclaimers and Limitations

Qadvo is provided “as is” without warranties of any kind, express or implied. We do not guarantee that the service will be uninterrupted, error-free, or that data will never be lost.

Qadvo is an asset tracking tool, not a professional appraisal, financial advisory, or insurance service. Values, depreciation estimates, and cost-of-ownership calculations are based on user-entered data and should not be relied upon as professional valuations.

To the maximum extent permitted by law, Qadvo's total liability for any claim arising from your use of the service is limited to the amount you have paid us in the twelve months preceding the claim, or $100, whichever is greater.

14. Changes to These Terms

We may update these terms from time to time. If we make material changes, we will notify you by email or through a notice in the application at least 14 days before the changes take effect. Your continued use of Qadvo after changes take effect constitutes acceptance of the updated terms.
