Everything Qadvo does
Qadvo keeps a dated record of everything you own and operate — every service, every document, every photo — and turns it into something you can hand someone.
The full list, in plain lines. If you came for the care guide, the example is here. To see the rest working, open the sample workspace — the real app with sample records, read-only, no card, no email.
Capture
Get a fact onto the record in seconds, from wherever it is.
- Photograph a receipt, a nameplate, a label, a manual page, or a whole room — Qadvo reads it: the fields fill and the file stays on the record as proof.
- Forward an invoice or order confirmation by email; it lands in your inbox as a card and files to the item it names — or asks you which, when two could fit.
- Say it: voice logging turns "changed the oil on the Kubota at 412 hours" into a dated entry.
- Scan a QR sticker on the machine and log against it without searching.
- A shop whiteboard, a card statement, or a dated sessions sheet becomes many entries at once — the table reader.
- Bulk history: drop a folder of old invoices and each becomes a review-ready entry with the original attached.
Records and timelines
Every item keeps its own history. Nothing is erased.
- One record per item — equipment, vehicles, property, plants, hardscape, documents — nested any depth (a farm → a truck → its trailer).
- A timeline of every service, repair, fuel-up, reading, incident, and improvement, with the evidence photo or PDF attached.
- Coverage and documents: policies, warranties, manuals, and contracts live on the item they cover; a fleet policy on the group covers every truck under it.
- Item status: sold, traded in, scrapped, lost, retired — the ledger closes honestly instead of disappearing.
- A contents ledger for a room, a shed, or a trailer, built from a photo, for insurance or a move-out (beta).
Reminders
Service intervals that reset when you do the work.
- By hours, miles, acres, cycles, or dates — oil every 250 hours, inspection every April, warranty ending in 14 months.
- Compound intervals (5,000 miles or 6 months, whichever first) and custom warning thresholds.
- A Due list on the home screen and an email reminder before the date, both scoped to your own work.
Ask Q
Ask your record anything. Answers come from your data, not the internet.
- "What did the F-150 cost me last year?" "Which warranty expires first?" "When did we last service the sprayer?"
- Q reads the item you have open, its documents, and its history — and says plainly when a fact isn't in the record.
- Ask Q to set up a reminder and it proposes the cycle and start date from your record; you confirm before anything is saved.
Care guides
A document about your customer's own yard, with your offer on it, that writes back to you.
- Photograph the install; the guide names each plant for you to confirm and writes its care, month by month, for your zone — watering amounts, protect-it notes, what looks alarming but isn't.
- Publish it: a frozen, dated edition with a link and a QR code, on the customer's phone and on paper, carrying your maintenance plan and your own warranty terms.
- Something wrong with a plant? They tap it. The request lands on the property's timeline and in your inbox, with their note.
- A per-property service agreement with tiers, offered on the guide and tracked from offered to active; a Clients board of every property, its plan, and what's due.
Reports
The strongest thing a record can do is prove something to someone else.
- Cost to own: what each machine actually costs per hour or per mile, from what you logged.
- Expense and tax export: every business expense by item and type, as a PDF and a spreadsheet.
- Certified History: a frozen, dated, shareable record of one item — every entry, every warranty, for a sale, a claim, or an audit.
- Insurance inventory and rental condition reports, built from a room's contents ledger (beta).
- Lab calibration reports for instruments, and a crop-year analysis for grain operations.
Value and economics
What it's worth, what it cost, and what it would take to replace.
- Purchase price, current value, replacement cost, amount owed, and net value on every item; a portfolio total across everything you own.
- AI value estimates, and a Sell This Item flow that drafts the listing and researches an asking price.
- Depreciation and cost of ownership for anything marked a business expense.
Security and privacy
Your data is yours.
- Private storage with row-level access rules; shared links are unguessable tokens; published reports are hidden from search engines.
- AI runs through private API connections — nothing you log trains a model or is visible to anyone else.
- Export a full backup any time. Delete your account yourself from Settings; after a 30-day recovery window, everything is purged.
Start with one item and one photo.
Care guides and client work are Business-plan features, the business profile comes with Operation and Business, and the rest is on every plan. The trial includes all of it, long enough to see it work on your own records.
The sample workspace is the real app with sample records — read-only, no card, no email. It doesn’t include a care guide; the example above does.
